General Sport Membership Terms, Conditions and Code of Conduct .

Article 1 – Facility & Exploitation
NATO offers its employees the option to participate in various sports activities. High Five Health Promotion B.V. (High Five) offers this service and manages the facilities of the Sport Centre.

Article 2 – Members
The following individuals can be members of the NATO Sport Centre and participate in the sports activities on offer:
a) All employees of NATO and National Delegations;
b) All employees of contractors within NATO;
c) NATO Sport and Cultural Clubs;
d) NATO civilian and military retirees;
e) Spouses/partners of National Delegations who are members;
f) Interns;
g) All employees of companies with a cooperative agreement with NATO.
Note: Children 12 years old and younger must be accompanied at all times by a supervising adult.

Article 3 – Registration
Registration for participation in sports activities is carried out at the Sport Centre Reception Desk, or digitally in High Five Connect. Every participant receives a personal account in High Five Connect. In the High Five Connect App, members have access to test data, invoices, direct debit authorisations, workout programmes, reservations, and schedules. High Five complies with the General Data Protection Regulation (GDPR). During registration, new members are explicitly asked to approve the processing of personal details and to agree with the Health Commitment Statement and regulations.

Article 4 – Start of Participation
Before beginning their first sports activity, members will have the opportunity to take part in a fitness assessment. Except for serious physical limitations shared by the member with a High Five employee (in line with the Health Commitment Statement), participation in sport activities can start immediately.

Article 5 – Reporting Injuries
If a member is aware of an injury or other issue, he/she must report it to High Five staff prior to the workout, in accordance with the Health Commitment Statement.

Article 6 – Liability
Participation in High Five activities is at the member’s own risk. NATO or High Five cannot be held liable for any material, personal, or other damage, losses, or theft—unless caused by malfunctioning equipment due to inadequate maintenance or supervision of safety.

Article 7 – Reporting Defects and Malfunctions
If a member notices that equipment is not functioning properly, they must report it to the High Five staff immediately.

Article 8 – Hygiene
The use of a towel while working out is required. Members must follow all health and safety instructions, including disinfecting, cleaning, and returning equipment after use. Clean workout clothes and indoor shoes are mandatory. We recommend bath slippers in wet areas. Please ensure rooms are left clean and that no personal belongings are left behind after closing. High Five reserves the right to remove items left behind in rooms or lockers and store the items in designated Lost & Found cabinets.

Article 9 – Food and Drinks
Eating and chewing gum in the workout areas are prohibited. Drinking is only allowed from personal sports bottles.

Article 10 – Opening Hours
All members may use the sports facilities during opening hours. Schedules and bookable activities are available in High Five Connect and via the Sport Centre Reception Desk. During holidays, an alternative schedule may apply - this will be communicated through the newsletter and community page. Members must cancel bookings at least four hours in advance if unable to attend – cancellation of a facility or class booking within 4 hours of a reservation can result in a loos of class credit or loss of booking privileges.

Article 11 – Schedule Changes
High Five may change the schedule with the consent of NATO.

Article 12 – Payment of Membership Fees
Membership fees must be paid in advance. The standard payment method is direct debit, with a signed mandate required prior to participation. Memberships are automatically renewed the day after the previous one ends (basic, family, and group class memberships). Alternatively, a non-automatically renewed (NAR) membership can be chosen; members should indicate this preference during registration. Fee increases will be announced at least four weeks in advance. Members may cancel their membership within four weeks of notification. The NATO Staff Centre is closed from late December to early January. No refund or extension applies during this period. In case of exceptional closure, no refund or extension will be granted.

Article 13 – Renewal & Cancellation

Renewable Contracts

  • Signed for 3, 6, or 12 months and non-cancellable during the term.
  • Automatically renewed unless cancellation is submitted via email two weeks before the term ends.
  • Re-enrolment within one month after cancellation requires payment of the interim period.
  • Exceptional cancellation allowed due to medical reasons or the end of a work contract. Official proof is required for pro-rata reimbursement.

Non-Renewable Contracts

  • Available in 1, 3, 6, or 12-month periods.
  • Payment by card only.
  • Re-subscription requires a one-month waiting period.
  • No refunds or extensions during the annual NATO-approved closure.

Article 14 – Complaints and Suggestions
Complaints or suggestions can be submitted to High Five staff or the NATO Morale and Welfare Officer, or via https://www.highfive.fit/en/suggestion-or-complaint.

Article 15 – Photos and Videos
Photography and videography on NATO HQ premises are not permitted without written permission from High Five and NATO's communications department.

Article 16 – Applicability and Modification of Terms & Conditions
These Terms & Conditions form part of the agreement between members and High Five. They are available at https://natosportcentre.highfive.fit/terms-and-conditions. High Five may modify them at any time with NATO’s agreement, revised Terms and Conditions will be circulated to members via the monthly newsletter.

Article 17 – Facility Rules
All members are expected to know and follow the Facility Rules, available on the High Five website, at the Reception Desk, and posted throughout the building. High Five may update these rules with NATO’s consent. Violations may result in verbal or written warnings, suspension, or permanent termination of membership

 

Article 18 – Unforeseen Circumstances
Matters not addressed in these Terms & Conditions will be handled by High Five in consultation with the NATO Morale and Welfare Officer.

 

Sport Member Code of Conduct

  1. Respectful Behavior
    • The Sport Centre is a facility of the NATO Headquarters – individuals are expected to behave in accordance with standards suitable of a professional international organization.
    • Treat all individuals with courtesy, dignity, and respect. Each individual has the right to a safe, inclusive, and welcoming environment.
    • Avoid offensive, discriminatory, threatening, or intimidating language or behaviour.
  2. Zero Tolerance for Harassment
    • Harassment—verbal, physical, sexual, or emotional—is strictly prohibited.
    • Derogatory, discriminatory, and intimidating conduct will not be tolerated.
  3. Professional and Appropriate Conduct
    • Maintain appropriate attire and behaviour at all times.
    • Offensive or inappropriate displays or gestures are not permitted.
  4. Privacy and Boundaries
    • Respect others’ personal space and privacy
    • Do not photograph or record others without explicit consent.
  5. Facility and Equipment Usage
    • Use equipment and resources responsibly and safely. Follow instructions 1) written on machines/equipment, 2) communicated by staff, and 3) posted on signage.
    • Report unsafe conditions, or behaviour that violates the Code of Conduct, to staff.

Consequences for Violations
Violations may result in verbal or written warnings, suspension, or permanent termination of membership.

 

Facility Guidelines

Punctuality & Access

  • Arrive on time for all reserved/booked activities.
  • Members should respect their reserved time slots (e.g. pool, tennis courts), and respect the reservations of other members/groups.

Group class areas are reserved for participants only during group classes. Studios are available for use outside of class times and group reservations

Booking Etiquette

  • Please cancel bookings in advance if you are unable to attend. Cancellation four hours or earlier will not result in a penalty; cancellations within three hours of a reservation may result in loss of class credit or loss of booking privileges.
  • Repeated no-shows may result in booking restrictions.

Footwear & Equipment Rules

  • Wear non-marking indoor shoes in sports halls and studios.
  • Wear appropriate shoes for the sport you will participate in, e.g. court shoes for tennis.
  • Football boots are not allowed indoors. Boot must be removed before entering the building.

Locker Room Conduct

  • Lockers must be emptied daily, unless otherwise approved.
  • Unclaimed items may be removed and stored in the Lost & Found cabinet.
  • Dirty shoes, clothes, and equipment should be placed in a bag when walking through common spaces (hallways and stairs) as well as in locker rooms.

Noise & Atmosphere

  • Maintain a calm environment, especially in wellness zones.
  • Avoid loud conversations or phone calls in shared spaces.

Lost & Found

  • Found items are kept in the Lost & Found cabinet for a limited time.
  • High Five is not responsible for lost belongings.

Emergency Doors

  • Emergency doors should remain closed at all times. Do not use emergency doors as shortcuts to outdoor areas.

Guests and Children

  • Guests must be registered and accompanied by a member.
  • Children are only allowed in designated areas and under supervision.
    • Under 12: Must be supervised at all times.
    • Under 14: Not allowed in the weight room.
    • 14–16: Allowed with parent supervision and signed waiver.
